The Architectural Review Committee (ARC) is established by Section VII of the bylaws and is responsible for establishing guidelines and approving requests that affect the exterior aesthetic and structure of all units and common areas of the community. In multiple policies request must be made to the ARC to obtain approval prior to the start of construction.
What Needs to be Submitted for Modification Request?
In all cases the Modification Request form needs to be completed along with attaching plans sufficient to properly describe the proposed changes to the ARC. Such plans can include:
- Complete plans and specifications sufficient to secure a building permit in the Municipality including a dimensioned plot plan showing the Unit and placement of all improvements;
- Front elevation, side elevations and rear elevation of the building, plus elevations of any walls and fences;
- A perspective drawing, if deemed necessary by the Committee, to interpret adequately the exterior design;
- Data as to size, materials, colors and texture of all exteriors, including roof coverings and any fences and walls;
- One set of blueprints to be left with the Committee until construction 1s completed;
- Any other data, drawings, or materials which the Committee requests in order to fulfill its function.
Where do I Send the Materials for a Modification Request?
Email the Modification Request Form and all associated materials to [email protected]. If the materials cannot be e-mailed. indicate that in your email and the ARC will arrange for and alternative means of delivery
How Long Does the Process Take?
The Bylaws stipulate the ARC must respond to your request within 30 days of receipt. However, they typically respond much sooner. Keep in mind the entire HOA Board is made up of volunteers with day jobs and family obligations. Plan ahead and submit early, do not count on a quick turn around, as the ARC may have follow up questions or may need to reach out to experts before responding (depending on the scope of the project)
Is There a Fee For a Modification Request?
While the Bylaws allow for a $250 fee to be collected for a modification request the ARC has traditionally not collected this for most requests. The ARC reserves the right to collect a fee to cover the costs associated to consult experts, if necessary for the project. The ARC will inform you quickly if they believe such a fee will be required.
